ConsultingSalesforceUser Experience

When the Cloud Notions team is brought into a new Salesforce environment, it’s often because someone within the organization knows things aren’t running as smoothly as they could. Whether we’re called in by an executive sponsor, an overwhelmed admin, or a frustrated end user, one thing is consistent: we log into a LOT of Salesforce orgs that need help.

This post highlights the top issues we see during those early engagements. Some are technical missteps. Others are process-related. All of them can frustrate users, waste time, and prevent your team from getting full value from Salesforce.

Common Salesforce Mistakes

Users Don’t Understand Salesforce

When users say Salesforce doesn’t make their job any easier—or that they “can’t find anything”—that’s a huge red flag. Often, this stems from poor initial training or a cluttered implementation that wasn’t designed with real users in mind.

We frequently resolve this by delivering tailored training videos and setting up customized List Views that highlight only the most relevant records for each user role. This small change can make a huge impact.

Users Entering Bad Data (or Skipping Entry Entirely)

Have you ever seen an Opportunity that’s nearly Closed Won but has an Amount of “1”? Or a Contact record where the phone number is just a string of 9s? These are signs that users are either skipping data entry or entering junk values just to move forward.

Salesforce has great tools to address this. Validation Rules can prevent nonsensical data. And Sales Path provides gentle prompts to help reps enter key fields at the right time. It can take a while to learn how to configure these features—but a consulting partner can usually implement them in minutes.

Not Using Automation

We often see users copy/pasting data between objects—like from an Opportunity to a Quote, or from a Contact to an Account. But Salesforce has a wealth of automation tools to reduce this kind of manual work.

Using tools like Flow, Process Builder, and native field updates, we can automate redundant tasks, auto-set field values, send alerts, and reduce errors. Learning to use these tools on your own can be tough, but with experience across 200+ orgs, our team can implement reliable automation quickly.

Everyone’s an Admin

When the Salesforce permission model gets too confusing, some teams just give up and grant everyone System Admin access. Others stop short of that, but still give broad delete permissions to almost every user.

This creates serious security and audit risks. Anyone could delete valuable data permanently—with no recourse and no logging. It’s not just bad practice; in some industries, it could be a compliance violation.

We can help by performing a detailed permissions audit and carefully rolling back access to appropriate, role-based levels.

No Mass Data Update Capability

Salesforce provides a basic data import wizard, but it doesn’t cover many objects or field types. Without the right tools, users are forced to manually update records one-by-one—hurting morale and adoption.

Our team uses advanced data tools to cleanly match, convert, merge, and update data at scale. Whether you need to mass-convert Leads to Contacts or fix thousands of outdated records, we can do it cleanly—so your team doesn’t have to.

No Integration / Pasting into Other Systems

Many teams skip integration in the early stages. Later, this leads to a patchwork of manual processes: users copy/pasting Salesforce data into QuickBooks, SAP, Athena, or spreadsheets. Eventually, this leads to costly errors.

Our team has deep experience building integrations using tools like Azure, AWS, Mulesoft, and custom REST APIs. We can help Salesforce talk to your existing systems—securely and reliably.
